What Information to Gather Before Requesting a Fleet-Wash Quote

A short checklist that gets you an accurate quote the first time instead of three rounds of follow-up questions.

Vague requests get vague quotes. Ten minutes of prep usually replaces two or three rounds of follow-up questions.

The checklist

  • Vehicle counts broken out by type — tractors, trailers, box trucks, vans, pickups, buses, equipment.
  • Every location that needs service, with full addresses.
  • Current condition: routine maintenance, or heavy catch-up after months without washing.
  • Preferred frequency and the wash window when vehicles are in the yard.
  • Site access: gate codes, security procedures, contact name and number.
  • Water availability on site, and whether the contractor may use it.
  • Special handling: wraps, lettering, sensitive equipment, aerial devices, refrigeration units.
  • Any timing constraints such as peak season or inventory weeks.

Why each item matters

Counts and vehicle types set the labor estimate. Condition determines whether the first visit is heavier than the ongoing cycle. Location and access affect routing. Frequency affects how the contractor structures the quote.

Say what a good outcome looks like to you — consistent appearance for customers, easier inspections, or salt removal before it does damage. That context helps the contractor recommend the right scope rather than guessing.
